Associate, Advancement Services

STATUS:                               FTE, Exempt

REPORTS TO:                     Chief Advancement Officer

Position Summary:

The Associate, Advancement Services is responsible for effective support and coordination for advancement services including recording gifts and pledges, preparing acknowledgements and charitable gift receipts, generating monthly, quarterly, and ad hoc performance reports, coordinating income producing activity for the annual fund, leadership gifts and institutional giving, and supporting coordination of donor engagement events. In addition, h/she may support the preparation for leadership meetings, scheduling, materials coordination and distribution, meeting logistics and hospitality.

Description of Duties:

Annual Fund and Leadership Gifts – 50%

  • Support activities and tasks associated with annual fund and leadership giving including direct response and social media campaigns – gathering assets for appeals, inputting copy and images into MailChimp CMS, supporting list and segmentation management, testing, and deploying campaigns.
  • Support activities and tasks associated with donor communication series including e-Newsletters and special campaign communication etc.
  • Support activities and tasks associated with planning and developing the Annual Report including meeting scheduling, maintaining production schedule, gathering assets, coordinating fact-check and proofing.

Donor Engagement – 25%

  • Support activities and tasks associated with donor engagement events – live and virtual, complimentary, and ticketed – including but not limited to print and digital invitations, guest list and RSVP coordination, sponsor recognition and benefits, event timelines and status reports, event logistics, venue, equipment, catering, vendor coordination, etc.
  • Support activities and tasks for auctions including curating merchandise, coordinating sales, receipting, acknowledgements, and merchandise pick-up.
  • Provide on-site event support including set up, strike and AV coordination.

 Advancement Services – 25%

  • Coordinate stewardship communication including recording gifts and pledges, preparation and distribution of acknowledgements and charitable receipts.
  • Coordinate timely entry of new records and bio data updates and as well as duplicate management initiatives.
  • Coordinate and distribute routine performance reports.
  • Support agenda and materials preparation for department and inter-departmental meetings.
  • Support activities and tasks for leadership meetings and functions including materials preparation and distribution, meeting logistics, and hospitality.
  • Support maintenance of institutional giving pipeline including updating report and proposal deadlines, archiving materials, and maintaining architecture hygiene in Advancement shared folders.

Desired Skills and Experience:

  • Working knowledge of fundraising CRM solutions such as Tessitura, Razor’s Edge or Donor Perfect.
  • Working knowledge of constituent communication solutions such as MailChimp or Constant Contact.
  • Experience coordinating events that build community among donors and volunteers.
  • Experience working with Trustees and key stakeholders.
  • Ability to work effectively in a team environment with competing priorities and sensitive deadlines.
  • High degree of organization, attention to detail and ability to multitask.
  • Strong interest in arts and culture.


  • Bachelor’s degree with at least two years’ experience in a nonprofit fundraising setting
  • Proficiency in MS Office Suite including Word, Excel, Power Point, Outlook, and Google Suite.
  • Digital literacy with ability to navigate websites, video call and chat platforms, web-based applications, and search.
