Special Events Manager

Atlanta Ballet has an immediate opening for a Special Events Manager.  This position will work closely within the development team (and partner with the Marketing, Production, and Artistic teams) to successfully strategize and execute Atlanta Ballet’s signature events:

1. the Ballet Ball, 2. the Corps de Ballet Kick-off Luncheon & Fashion Show and 3. the Centre for Dance Education Celebration.

In addition, for 2018 only, there will be a Nutcracker Gala to celebrate the opening of the new Nutcracker. This individual will serve as the Ballet’s primary liaison for all volunteer planning committees as well as the Corps de Ballet Guild.

The individual will also provide the Development Department support and logistics for all donor parties, receptions, the Donor Lounge, and event related benefits. 

 This position is full-time, salaried and reports to the Chief Advancement Officer.

Duties and responsibilities include, but are not limited to:

1) Major Fundraising Events – Ballet BallCorps de Ballet Kick-off Luncheon & Fashion ShowNutcracker Opening Night Gala (2018 only), and Centre for Dance Education Celebration.   

  • Develop event plans, including event logistics, budget and income projections;

• Oversee contract bidding, volunteer committees, catering staff, logistics;
• Provide on-site event management;
• Facilitate activities of event volunteers, including their duties and meetings;
• Design and maintain a comprehensive solicitations calendar, reporting as necessary and upon request;
• Write and present event sponsorship proposals;
• Fulfill donor recognition and benefits as related to events.
• Manage and create all needed events materials, including but not limited to, mailings, invitations, and in-event collateral;
• Manage and maintain mailing lists for individual and corporate sponsorship;
• Accept and manage feedback, as appropriate, to improve effectiveness and results of events;
• Oversee website maintenance for event pages.

2) Corps de Ballet

• Managing the yearly calendar including Board meetings and Corps events
• Oversee the membership drive by designing and creating yearly membership brochure and managing the follow up membership renewal and acquisition mailings;
• Manage the creation and distribution of the Corps de Ballet Directory;
• In conjunction with the Corps President, manage Board meetings by scheduling, providing monthly financials, creating agendas, and producing packets;
• In conjunction with the Corps President, write and distribute the Corps de Ballet bi-yearly enewsletter;
• Oversee website maintenance for Corps de Ballet pages.

3) Stewardship and Donor Benefit Events

• Coordinate all donor events with the Artistic team
• Create and distribute yearly stewardship and donor benefit calendar
• Oversee logistics, budget, catering staff, and auxiliary vendors;
• Manage the invitation and RSVP process;
• Write speeches
• Provide on-site event management.

4) Fiscal Responsibilities

• Maintains and reconciles expense budgets for each benefit event, ensuring careful resource management. 
• Reconciles all proceeds from fundraising events to ensure the appropriate designation and disbursement of funds. 
• Track and evaluate progress in achieving financial objectives;
• Monitor progress to goals and respond to feedback in order to improve results;
• Report progress and financial results monthly to the Director of Development for integration with the overall departmental financial reporting.

5) Other Duties as Assigned


• At least five (5) years of non-profit work with experience in event planning
• Two years plus of database management experience, Tessitura experience preferred
• Bachelor’s degree required

• A strong interest in dance or the arts
